Position Overview:
Oregon Provider is seeking a highly organized and dependable HR Assistant to support the hiring, onboarding, compliance, complaint, and offboarding processes. This position works closely with the Agency Director, Human Resource Manager, and Compliance Manager to help ensure each step is completed accurately, professionally, and on time.
This role is ideal for someone who is dependable, organized, and able to work independently while also being a strong team player. The right person will be comfortable using checklists, coordinating multiple tasks, remaining flexible with changing job duties, and staying calm, professional, solution focused, and self sufficient in a fast paced environment.

Hiring and Onboarding Coordination:
- Confirm interviews.
- Send reference and background check forms.
- Complete and document reference checks.
- Coordinate background checks.
- Send orientation emails.
- Send Monday orientation communications.
- Assist new hires with downloading and setting up required apps.
- Navigate multiple software platforms, apps, and digital documentation systems.
Offboarding Support:
- Support the structured offboarding process.
- Ensure exit steps are completed accurately.
- Upload completed exit packets into Payroll and Taxes under Current Payroll.
- Scan employee badges into Google Drive.
- Shred physical badges.
Systems and Documentation:
- Maintain accurate documentation in Google Drive, BambooHR, Workforce, and Adobe.
- Maintain complete and organized employee files.
- Ensure employee documentation is accurate, current, and properly uploaded.
- Communicate effectively using WhatsApp and internal systems.
- Maintain a high level of confidentiality with employee information.
Qualifications:
- Prior experience in administrative support, onboarding, and offboarding preferred.
- Strong organizational skills.
- Consistent follow through.
- Excellent written and verbal communication skills.
- Ability to manage multiple steps, timelines, and details independently.
- Confident working with apps, Google Drive, BambooHR, Workforce, WhatsApp, and Adobe.
- High level of professionalism, discretion, and confidentiality.
- Reliable and punctual.
- Able to work fully in person.
- Able to handle change and stressful situations calmly and professionally.
- Working knowledge of website maintenance and basic website updates preferred.
